How we look after your spreadsheets and your information. Last updated 14 October 2026.
What we collect
- The spreadsheet you upload, and the results we make from it.
- If you create an account: your name, email address and business name.
- Basic technical information, such as when a file was uploaded. We do not store your IP address; we only keep a scrambled code of it to stop abuse of the free check.
How we use it
Only to check your file, build your results and dashboards, and run your account. We do not sell your data or use it for advertising. We do not look inside your files except when you ask us to help with a problem.
How long we keep it
- Free check: your file and results are deleted after 24 hours, or straight away if you choose “Delete my file now”.
- Accounts: kept while your account is active. If you stop paying, we keep your data for 12 months, warn you, and then delete it.
- Backups: copies of our database are kept so nothing is lost if something goes wrong. Deleted data leaves these copies within 3 months.
How we protect it
Files are stored privately and encrypted. Download links work for 5 minutes only. Every file is checked for viruses, and we never run formulas or macros from your files.
Where your data is stored
Our servers and database are in the Netherlands (Railway, Amsterdam), and files are stored with Cloudflare in Western Europe. This means your data is kept outside Nigeria, with providers that protect it under contract.
Others who help us run DataBena, and only see what they need:
- Paystack: takes payments. We never see or store your card number.
- Zoho (United States): sends our emails, such as sign-in links and receipts, and holds the messages you send to our hello@, help@ and privacy@ addresses.
Your rights
You can ask for a copy of your data, ask us to correct it, or ask us to delete it at any time. Email privacy@databena.com. You can also complain to the Nigeria Data Protection Commission.
